The Client Service Representative is critical to connecting our life-saving devices to doctors and hospitals throughout the US. They provides support to Sales Representatives, Field Service and Customers. They focus on providing high-caliber customer service and go the extra mile to solve problems via in-bound and out-bound telephone and email requests while providing a high-quality experience. This customer solutions team oversees the processing and fulfillment of customer orders, and responds promptly to Customers and Sales team requirements, inquiries, and requests.
Responsibilities of the Client Service Representative:
- Answer calls from current clients, listen carefully to their concern, and determine the proper resolution. This includes partnering with operations and finance to ensure issues are resolved expeditiously
- Research and resolve issues to ensure customer retention and satisfaction
- Provide support and liaise with Sales Representatives to handle their special requests and inquiries within 24 hours
- Create new accounts, quotes, orders, electronic invoicing, billing, credit, and re-bills, etc.
- Review invoices carefully to resolve any discrepancies
- Create Return Material Authorizations, loaner requests, and repair order
- Verify payment terms, pricing, address accuracy, freight terms, and additional instructions on purchase orders
- Escalate issues as needed
- Support compliance by obtaining and retaining documentation and approvals relating to orders.
- Assist outside sales including making customer calls, tracking orders, following up on delivery schedules
- Provide telephone support for internal and external customers
- Update ERP systems with client information
- Send repair quotes to customers and follow up on approval
- Process return orders issuing credit and/or billing with proper approvals
Requirements of the Client Service Representative:
- Bachelor’s Degree
- 1-3 years of experience in a business to business company, ideally supporting a field sales team, medical device or similar industry
- Experience with Microsoft D365 or similar enterprise system preferred
- Ability to handle a wide variety of situations; possess a strong attention to detail with exceptional problem-solving skills, critical thinking skills and the ability to multi task in a fast-paced environment
- Excellent phone etiquette, outstanding written and verbal communication skills required
- Demonstrate ability to build and maintain relationships
