The Student Financials Supervisor covers a large variety of duties including but not limited to: supervising staff, monitoring the daily processing of the cashiering department, working with other departments across the District, and troubleshooting any issues in regards to financial transactions. They will train staff members and be responsible for assigning and scheduling work. This position requires regular and consistent attendance.

Pierce College Fort Steilacoom – Located on a beautiful 140-acre site adjacent to a 340-acre community and recreational park, including Waughop Lake.

ESSENTIAL FUNCTIONS: Supervision:
Supervise others in fiscal record keeping and support services.
Determines deadlines and plans staffing requirements for special fiscal projects; with delegated authority, interviews and recommends selection of applicants, trains new employees, assigns and schedules work, acts upon leave requests, conducts annual performance evaluations and recommends necessary disciplinary actions.
Provides opportunities for individual skill development and knowledge through training, coaching, and meaningful and timely evaluation.
Cashiering/Accounts Receivable Back Up:
Assists clients/customer by providing District interpretation on policies, procedures and laws (FERPNHIPPA), provides explanations on forms, pamphlets and other materials; reviews and researches file documentation to resolve client/customer- related complaints.
Advises clients/customers of proper procedures involved in appealing agency decisions; responds to questions on all District programs and how to access District services.
Assists clients/customers with establishin11 accounts (TIP) and (FIP), accepting all modes of payment for services and applying agency cash handling policies.
May also process scholarships/refunds as well as billing/collections. Work the unpaid report to determine who will be dropped and then forward list to Registration to either drop or notify student via automated phone system. Work with Financial Aid to process reversals of financial aid and apply waivers to student accounts.
Follow up on scholarship awarding and balancing as needed each Term.
Banking/Cashiering Cash Management:
Processes daily electronic fund transfers (EFTs); prepares, processes, reviews, and analyzes cashiering daily work for completeness a1d accuracy; NSF checks, Chapter 33, and verifies against the bank.
Troubleshoots and takes corrective action regarding; issues with Merchant Services. Process daily Online Payments (KeyBank) and Cybersource transactions.
Trouble shoots and takes corrective action regarding Online Payment (KeyBank) and Cybersource for errors.
Policies & Procedures/Communications & Relations:
Foster partnerships across the District.
Provide guidance, direction, and training to district departments on cashiering policy and procedure to enhance district effectiveness and customer service.
Recommend changes to District financial policies and procedures to ensure compliance with State and Federal laws and regulations, and community college system fiscal policies.
Recommend changes in policies/procedures to serve the best interest of the District. Work with students to resolve issues.
Positively responds to customer service inquiries and complaints, by deescalating the situation and identifying issue, and using the established procedures to identifying available solutions that meet the need of the customer, when possible.
Effectively communicates with internal customers to ensure all receivable related questions are answered, and resolved if necessary, in a timely manner.
Effectively communicates with students, to ensure all questions related to their accounts are answered, and resolved if necessary, in a timely manner.
Effectively communicates with external customers, such as scholarship donors, sponsorships, and other account holders, to ensure all questions related to their accounts are answered, and
resolved if necessary, in a timely manner.
Teamwork:
Participates will, and serves as backup for other Finance Department activities.
Complete special projects as assigned by the Director of Fiscal Services or the Vice President of Administrative Services.
Works with other Student Financials Supervisors at r II locations to ensure the Department is working as a cohesive unit.
QUALIFICATIONS: Required Education:
• High School diploma or GED.
• At least 15 satisfactorily completed college-level credits in accounting.
Required Experience:
• Minimum two (2) years of supervisory experience.
• Experience using current cash handling procedures in a business environment.
• Experience documenting and updating information in written or electronic format to maintain accurate and complete records.
• Experience working in customer service.
• Candidates invited for interviews will be required to complete an accounting exam.
Special Requirements:

Required Knowledge, Skills and Abilities:
• Understanding of Generally Accepted Accounting Principles (GAAP), Family Education Rights and Privacy Act (FERPA), and any applicable Office of Financial Management (OFM), State Board for Community and Technical College (SBCTC) or Washington State laws as outlined in the Revised Code of Washington (RCW). Utilization of the previously referenced items is outlined in the State Administrative & Accounting Manual (SAAM) or the SBCTC Fiscal Affairs Manual (FAM). Additionally, knowledge and understanding of Governmental Accounting Standards Board (GASB) fund accounting practices is preferred.
• Must have working knowledge and understanding of the integrated processes that impact the Cashiering & Customer Accounts Module of the Fiscal Management System (FMS), including but not limited to: the Student Management System (SMS) and the Financial Aid Auto Application process that runs through the Financial Aid Management System (FAMs).
• Ability to monitor and review input and output of financial data, and develop fiscal queries and reports.
• Ability to interpret and explain applicable state and federal regulations.
• Ability to work effectively and positively with individuals of diverse cultural and socioeconomic backgrounds and educationally diverse populations.
• Strong coaching and mentoring skills, including the ability to encourage, inspire, and support employees in achieving the district’s mission and their individual professional goals.

Terms of Employment:
This is a full-time (40 hours per week) classified, overtime-exempt position with Pierce College District. The primary work location will be at Pierce College Puyallup campus but occasional travel to Pierce College campuses or sites may occur. Work hours are between 8:00 a.m. and 5:00 p.m. Monday through Friday with occasional evenings and weekend work, and occasional travel as required. This position may be subject to reassignment between campuses or sites.
Salary & Benefits:
The starting salary range of this position is $3,734.00 – $4,324.00 a month (dependent upon qualifications), with annual periodic increments up to $4,466.00. However, your paycheck is just part of the total compensation package. There is an outstanding benefits package which is worth an additional value equivalent to about 30% of your salary. A comprehensive health care benefits package for you and your dependents includes medical, dental and vision insurance. Life and long- term disability insurance plans; vacation, sick and personal leave; reduced tuition; and retirement benefits are also provided. This position is required to work indoors in an office environment.
