We support our clients’ work in educational and social services; case management; grant writing; fundraising; social justice reform; adult education; protection of workers’ rights; direct care services for intellectual and developmental disabilities, homelessness, domestic violence, and child abuse; theater, dance, and cultural arts; IT consulting, and government contracting. We help clients solve day-to-day, urgent, and longstanding human resources challenges.
Reporting to the Principal Consultant and Owner, this is an immediate 100% remote part-time opportunity to work 30 hours/week.
Human Resources Administrative Support
Periodically review firm compliance with federal and local human resources regulations, laws; maintain awareness of multi-state changes
Compile and analyze human resources and business reports.
Review resumes, schedule and conduct MS-Teams pre-screen interviews, and document interview notes.
Schedule and coordinate 2nd round interviews with the Consulting Services Group and the Principal Consultant and Owner; follow up with all candidates.
Conduct pre-hire onboarding, new hire orientation and post-hire offboarding.
Coordinate the firm’s annual performance review and development process.
Maintain and annually update the firm’s professional liability insurance, workers compensation insurance, business operations insurance.
Answer employee routine questions and respond in a timely manner.
Serve as the firm’s subject matter expert for MS Teams, SharePoint and HubSpot
Update firm SharePoint drives and folders, files, and documents.
Audit, maintain and update firm electronic employee files and employee skills database.
Manage individual professional development.
Assist with special human resources projects as assigned.
Client Administrative Support
Update and accurately maintain HubSpot Client Relationship Management (CRM) system
Respond to emails from prospective clients within one (1) business day.
Coordinate and schedule introductory and close-out client meetings with the Principal Consultant and Owner.
Schedule kickoff meetings with new clients, assigned HR consultant; prepare and distribute agenda.
Work with the Consulting Services Group to maintain and update status of client projects and initiatives.
Work with the Consulting Services Group to prepare customized training presentations for behavioral interviewing, hiring, terminations, promotions, performance review, safety, sexual harassment, HR Management, etc.
Set up new clients in ADP Time and Attendance ensuring accurate client information and billing codes.
Organize client SharePoint drives ensuring secure access of firm employees and client.
Respond to emails and assign to the appropriate HR consultant within one (1) business day.
Draft proposal letters and service agreements.
Run ADP Timecard Detail reports, producing monthly client invoice details by 12:00 pm on the 1st and 16th of each calendar month.
Attend client meetings and provide additional client support as requested.
Education and Experience
Three to five years of related administrative and customer service support experience.
Excellent organizational skills including calendar management and scheduling.
Strong written and verbal communication, and interpersonal skills.
High level of confidentiality and integrity.
Computer and Software Skills
To perform this job successfully, an individual must demonstrate proficiency with contact management systems; database software; HubSpot CRM, MS Office 365, specifically Outlook, Excel, PowerPoint, MS SharePoint, MS Teams, Survey Monkey, related cloud-based platforms, and social media platforms.
