The key components of this job will include administrative duties, customer support for external customers, executive administrative support, payroll, invoicing, and onboarding. This person will be based out of our office in Richmond for the first few months during training but then will have the ability to work hybrid from home / in the office after a successful training period.
Responsibilities
Invoicing clients through Quickbooks
Running payroll
Contractor and employee onboarding
Coordinating start details for new contractors between the clients and contractors
Responding to client audits of documentation and reporting
Tracking contractors’ time and auditing hours worked and contractor expenses
Communicating with contract employees once hired for issue resolution about timecards, paychecks, onboarding, etc.
Communicating with clients on contractor start and compliance details
Using internal applicant tracking system and client-specific tools to move candidates through the hiring process
Verifying employee i-9’s
Creating work instructions and SOP’s for new processes
Organizing and maintaining database of company documents within Microsoft Teams
Candidate sourcing as needed
Other administrative and HR duties as necessary

Qualifications
Prior administrative experience or a Bachelor’s degree if entry-level
Experience with external client/ customer interfacing roles
Strong organizational skills
Strong sense of urgency
Deadline-driven
Technically savvy and able to quickly learn new software and technologies
Good time management skills
Detail-oriented
Experience with Quickbooks preferred
Payroll experience preferred
