POSITION SUMMARY: Processes and produces the work necessary for efficient office operations and functions while interacting with the visiting public as well as the residents and staff of the community. ESSENTIAL JOB FUNCTIONS: 1. Assists with preparation and monitors all monthly billing and collection processes utilizing established policies, procedures and tracking systems. 2. Assists with the processing of invoices on weekly basis. 3. Assists with posting of rent checks. 4. Facilitates new hire orientations and reviews new hire paperwork before submitting the documentation to the payroll department. 5. Interfaces with residents on billing/collection issues. 6. Files resident and employee records. Updates terminations, 1-9 and TB/Hepatitis binders. 7. Submits open positions on a weekly basis. 8. Supports creating a culture where the business decisions made in this position, along with individual employee engagement, drive top-line revenue and occupancy. GENERAL JOB FUNCTIONS: 1. Come to work as scheduled and consistently demonstrate dependability and punctuality, complies with attendance policy. 15. Assume accountability for data contained in the employee handbook. 16. Assumes accountability for compliance with Federal, State, and other regulations within scope of control and of which informed. 17. Observe infection control procedures. 18. Follow Residents’ Rights policies at all times. 19. Observe all community policies and procedures. 20. Perform incidental housekeeping and maintenance tasks as may arise during the course of regular duties, in order to maintain a clean, safe, pleasant environment for residents, visitors and staff. 22. Perform all other related duties as assigned in an effective, timely and professional manner. EXPERIENCE & EDUCATION: High school diploma or general education degree (GED) required Job Description – Business Office Assistant Page 3 of 4 © Rentals Rev. 3/2017 Associates degree preferred One to three years related experience and/or training; or equivalent combination of education and experience LICENSE/CERTIFICATION OR OTHER SPECIAL REQUIREMENTS: Doctor’s statement verifying free from communicable disease, if applicable in your state Must possess current and valid driver’s license consistent with the requirements determined by size of vehicle and laws of the state in which the driver is licensed. QUALIFICATIONS: Proficiency in the English language enabling the employee to read, write, comprehend and communicate simple instructions, correspondence, memos, etc. Familiarity with Microsoft Office Suite products Must demonstrate excellent telephone communication skills. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to compute simple math, including units of American money. Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving few concrete variables in standardized situations. Willingness to be available for any/all emergencies regarding the community Ability to multi-task, balance team and individual responsibilities, and respond promptly to resident and visitor needs.
