The Organization:
Founded in 1846 to care for the children and widows of sailors in the Port of New York, Seamen’s Society was one of the first organizations, in the US, to care for abandoned children in family settings, rather than institutions. Today, Seamen’s Society for Children and Families is a comprehensive $23 million nonprofit organization that offers foster care and adoption services, mental and behavioral health care services, prevention/family stabilization services, a family day care program, domestic violence intervention and counseling services, health home care management services, education financial support, and a youth tutoring program. The agency’s nearly 200 professionals serve over 1,100 children and 800 families in New York City.
Job Summary:
The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.
Duties/Responsibilities:
Track and review required new hire documentation for accuracy and process all new hire forms, including: (DCJS (fingerprints) SCR, DMV, Professional Licenses, SAM, SOR, OMIG, etc.
Enter new hires in HR and time and attendance systems
Provides clerical support to the HR department: receives and distributes office mail, prepares purchase orders, handles all photocopying, faxing, filing, processes internal/external forms, including but not limited to verification of employment, loan forgiveness, housing, etc.
Maintains accurate and up-to-date human resource files, records, and documentation
Processes enrollments, changes, and termination for employees’ benefits (health, dental, vision, life and 403(b) retirement plans and enter deduction in the payroll system.
Complete termination paperwork
Assists with new hire orientation and Mid orientation
Assists with postings, interviews set up and recruiting
Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, etc.
Maintains the integrity and confidentiality of human resource files and records.
Performs other duties as assigned.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent interpersonal skills to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
Excellent organizational skills and attention to detail.
Proficient with Microsoft Office Suite or related software.
Ability to perform the essential functions of the job with or without a reasonable accommodation.
Education and Experience:
Bachelor’s degree required
Prior related office experience preferred.
1 year of HR experience is preferred.
The ability to work out of two sites, Staten Island and Brooklyn.
