This position offices in the Corporate office in Manhattan, KS. Occasional flexibility with work schedule and location can likely be accommodated.
Position Description:
The HR Office Administrator contributes to increased organization productivity, enhanced support of the Human Resources Department, and increased internal customer satisfaction by completing tasks related to recruiting, onboarding, benefits, wellness, and HR administration. In addition to completing tasks directly, this position provides internal customer support for these functional areas to managers and facility-based HR representatives across the organization. This position will work as part of a core team that supports multiple business units with different needs.
Primary Responsibilities:
Recruiting & Onboarding
Acts as dedicated recruiter for hiring managers in Manhattan and Corporate Departments (average of 1-2 open jobs per month)
Provides recruiting support for company locations in back-up of local facility/business HR Office Administrators as needed
Posts all open positions on company-branded social media platforms and ensures social media postings are updated and refreshed frequently
Works with Manhattan and Corporate Dept hiring managers to initiate all pre-hire background checks and drug screens and assists facility-based HR Office Administrators with any background check and drug screen troubleshooting
Works with Manhattan and Corporate Dept hiring managers to initiate all new hire onboarding activities/tasks in UKG Pro
Conducts HR systems orientation with all new hires for Manhattan and Corporate Departments
Provides administrative ownership, training, and support of the UKG Pro Recruiting Platform, associated third-party sites and internal sites; works directly with UKG Pro to troubleshoot Recruiting platform problems
Provides administrative ownership, training, and support of the UKG Pro Onboarding platform; works directly with UKG Pro to troubleshoot Onboarding platform problems
Create and maintain reference and training materials related to recruiting and onboarding systems and best practices as requested
Tracks and reports on the completion of new hire onboarding activities/tasks at all facilities, including 90-day reviews, onboarding surveys, onboarding videos, etc.
Talent Management Administration
Works with company managers to ensure all job description updates are documented and uploaded to SharePoint
Collaborates with the HR Talent Systems Administrator to ensure updated competencies are appropriately mapped to the respective job titles
Benefits Administration
Conducts benefits orientation with all new hires for Manhattan and Corporate Departments
Creates and distributes monthly benefits fliers and communication materials
Assists the HR Systems Administrator in coordinating and executing annual benefits open enrollment
Assists the HR Systems Administrator in processing all monthly new hire benefits enrollments
Provides customer support to employees and managers re: benefits questions and issues; engages carriers as needed
Wellness
Project manages annual biometric screening events across all company locations
Creates and distributes wellness communication materials across multiple channels
Provides administrative ownership, training, and support of wellness technology and associated third-party platforms
Coordinates annual flu shots for Manhattan employees
HR Administration
Troubleshoots employee verification issues with outsourced provider
Sends monthly service anniversary spreadsheet for Service Awards to appropriate vendor contact
Designs and orders Trophy Awards for 25+ year service anniversaries; sends to Managers
Provides administrative ownership for the Manhattan service anniversary and birthday calendar
Accurately processes service award vendor invoices for payment
Accurately processes drug screening and pre-employment physical invoices
Scans and files all HR related documents into UKG Pro; ensures all scanning and file management is kept up to date
Provides additional support for other HR projects, programs, and initiatives as needed
Serves as backup for timecard maintenance and payroll administration for all legal entities
Assists HR Systems Administrator with year-end HR processes
