How you make a difference in this role: The Tennessee Department of Human Services is currently seeking experienced candidates for Executive Administrative Assistant 2 (EAA2) in the DHS Office of General Counsel (“OGC”). This position provides high-level operational support to the General Counsel and two Deputy General Counsels (“DGC”). OGC provides legal advice and litigation support for DHS across the state. OGC is heavily involved in central office operations and support to all programmatic and support divisions of DHS. The position is Executive Service.
The successful candidate must demonstrate: excellent writing and communication skills, collaborative teamwork, sound judgment, the ability to multi- task, prioritize time sensitive matters as well as maintain confidential information, support programs and executive
leadership, and maintain effective communication and relationships while providing exceptional customer service in a fast-paced and ever-changing environment.
Key responsibilities:
Ability to work independently on projects from conception to completion and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Provide technical support by managing tasks in Edison and other state software programs to facilitate time and labor, travel, procurement, hardware management/IT requests, onboarding and offboarding tasks, and legal case management support.
Provide logistical support when needed for in-person meetings, hearings, retreats
Required Experience:
Applicants may be subject to background check. Any position could ultimately be designated as work from home, mobile work or free address (i.e., Employees work in office and can choose from various space options based on need for a given day such as private meeting rooms, conference rooms, collaborative spaces and enclaves for individual work assignments.)
Minimum qualifications:
At least three (3) years as an Executive Administrative Assistant or equivalent position supporting Executive Leadership, demonstrating success in achieving high-performance goals, and meeting deadlines in a large organization.
Administrative agency or government experience highly preferred.
Bachelor’s degree from an accredited college or university preferred. Two-year degree in related course of study is acceptable. Substitution of degree with at least 4 years of experience in a support role with an executive 2+ years.
Experience/Proficiency in Microsoft Office, Excel, Word, PowerPoint and Outlook.
High proficiency in written and verbal communication skills.
