Job Description The Times is seeking an organized, detail-oriented person with strong administrative skills and excellent interpersonal, oral and written communication skills to join the Newsroom Operations team as an executive assistant. This assistant will work with several newsroom executives, and will be expected to exhibit professional judgment with respect to confidentiality at all times. The ideal candidate will be comfortable handling a wide variety of tasks, from basic clerical and administrative duties to assisting project managers and masthead editors in a number of ways. Most importantly, we need someone who is an absolute ninja with calendar organization, as you will be tasked with handling calendars for a few extremely busy masthead editors and also training as a backup for our team of executive assistants. Responsibilities: * Manage calendars, schedule meetings, coordinate interviews and book conference rooms. * Prepare expense reports. * Manage travel bookings of airfare and hotels while adhering to company policies. * Prepare lists or other materials in advance of daily news meetings. * Conduct research as directed by editors, set up special events, manage projects and provide general support as needed and directed by editors. * Maintain a high degree of confidentiality and discretion in regard to all matters and documents. * Maintain good working relationships across the newsroom and the company, as well as with vendors/suppliers. Requirements: * Professional judgment with respect to detail and confidentiality is a must. * Excellent news judgment. * Impeccable organizational skills and time management; ability to multitask and prioritize, and work under deadline pressure. * Excellent interpersonal oral and written communications skills. * Ability to deal with executive-level management and staff in a highly professional manner. * Able to research resources, troubleshoot and solve problems. * A thorough understanding of the staff, deadlines and daily workings of The Times newsroom and newspaper. * Patience and a sense of humor. * Strong general computer skills a must.
