Core duties and responsibilities:
An Executive assistant’s core duties and responsibilities are:
Ensure the highest level of discretion in providing a comprehensive range of executive assistant support.
First point of contact for internal and external CPO’s activities and events, independently handling sensitive communication/information flow. Effectively manage calendar, including scheduling appointments and meetings and independently resolving conflicts.
Organizing and managing workflow in and out of the Talent and Culture Office, including the management of the T & C inbox (internal and external); management of information flow in and out of the CPO’s office; follow-up on various items on CPO’s behalf.
Organize and prepare materials for all-staff and T & C meetings
Create and or adapt presentations to be made by the CPO and other T & C team members where applicable
Organizing/coordinating CPO’s travel, both domestically and internationally.
Attending and organizing Voice of the Employee (VOTE) and Spot Bonus Committee meetings, including coordinating agenda, drafting meeting minutes, and following up
Supervising/coordinating with the core administrative team (CAT), where applicable
Human resources
Transact Time Batch payroll processing (TLM) in ADP Total Source; review timecard reports, and reconcile issues with hourly staff before moving to pay data
Jointly share Payroll Responsibilities for B/W payroll as needed and requested
Manage onboarding and offboarding of HR tasks for team members – in HRMS/ADP TotalSource and work with IT and office staff to complete people task
Orient new employees by providing orientation information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs.
Jointly maintain human resources records of the staff relating to new hires, transfers, terminations, changes in job classifications, and merit increases; tracking PTO
Assist with Companywide safety initiatives & compliance training
Assist with the performance review and termination processes
Assist with the recruitment and interview processes
Schedule ADP TotalSource compliance training
Assist with ADP TotalSource scheduling of yearly benefits open enrollment meeting
Work with Talent & Culture Sr. Manager to perform any other HR administrative tasks as needed
Requirements:
Five to 7 years of proven, practical support of C- Suite Executive or Director level position
Proven work experience as an HR Administrative assistant relevant role
A proven track record in managing confidentiality, proven personal ethics, and integrity
Intermediate to advanced MS Word, Outlook, Excel, PowerPoint, keyboarding – 65 plus WPM
Outstanding skills in organizing, prioritizing, scheduling, planning, and coordinating work.

Proven ability to create and work in a team-oriented multi-cultural environment,
Agility, positivity, and maturity
Good knowledge of California labor laws
