The Office of the General Counsel, Division of Alcoholic Beverages and Tobacco (DABT) Legal Unit, is seeking a highly motivated individual who is able to follow instructions, communicate effectively, use correct grammar, prioritize work assignments, use a personal computer, establish and maintain effective working relationships with others, work independently, pay attention to detail, take initiative, and is able to consistently meet deadlines.

Minimum Requirements:
High School Diploma/GED; and
Two years clerical, administrative, or legal secretarial experience; and
Knowledge/experience of Microsoft Word and Outlook.
Duties & Responsibilities:
Under the direction of the Administrative Assistant III, this position provides administrative and clerical support to the attorneys of the Office of the General Counsel, Division of Alcoholic Beverages and Tobacco (DABT) Legal Unit.
Maintains and updates legal case files on pending court and administrative cases in an organized and comprehensive, chronological and timely manner;
Updates, maintains and tracks cases in the Department’s case and document management systems, including closing cases;
Prepares necessary forms for attorneys and ensures final documents are free from errors and compiled correctly in a timely and accurate manner, including correspondence and legal documents relating to the activities of the attorneys;
Drafts correspondence, memoranda, notices, motions, and basic legal pleadings;
Conducts basic research and prepares reports and works on special projects as directed by the Administrative Assistant III or attorneys;
Accurately maintains and updates attorneys’ calendars to include appointments, hearings, meetings and visitors. Keeps attorneys advised of appointments scheduled;
Prepares travel and accommodation arrangements for assigned attorneys, including preparing authorizations to incur and vouchers for reimbursement of travel expenses;
Assists with phone coverage for the main switchboards of the Office of the General Counsel;
Performs other legal secretarial, administrative or clerical duties as directed by the Administrative Assistant III or as needed to ensure the success and organization of the DABT Legal Unit.
Performs other duties as assigned, including assisting peers or supervisors when needed or requested. This includes willingness to perform other duties that may arise and do not necessarily fall precisely within the current job description, but under related responsibilities of the office.

Ability to recognize and act on emerging issues and shifting priorities.
