Outreach to referral sources is comprised of – phone calls and emails to referral sources, visits to referral sources, inviting referral sources to lunch and/or tour of the community.
Assist Sales Director with lead data base maintenance, mail outs, event planning and execution, outreach/promotion giveaways, and other administrative support activities as assigned/needed.
Perform prospective tours and phone calls when Sales Director is out or not available.
After prospects place deposit work with prospective residents and families to make new residents and families feel at home and welcomed at the facility. Follow and use resources, including the “Move-In Process” and “On the Move” program to ensure new residents and families are fully integrated into the lifestyle that our facility has to offer.
Move-In support tasks will include:
Organize details of mov-ins by establishing contact with the prospective residents within one day of deposit and maintain frequent contact in person and via telephone until the residents move in.
Schedule activities and meals to pre-integrate the resident and family. This may include meeting tablemates, housekeeper, department managers, and any other residents that will assist in welcoming the new resident.
Provide resources to residents about moving, packing, and storage.
Home visits to assist determining what items to bring
Assist with setting up telephone and internet service
Coordinate logistics with selected moving company
Provide change of address information and reminders about subscriptions for newspapers and magazines, etc.
Assist with notifying friends and family of new address
Assure meals are delivered during first day of arrival
Upon move in introduce resident to department managers, dining room supervisor, housekeeper, tablemates, and residents who assist welcoming new move-ins
Conducting apartment and community orientation
Organizing a housewarming party
Frequent visits the first month following move in to assure resident is happy with tablemates, activity schedule, and to answer any questions or concerns that arise. Communicates with families during the entire process
Walk Through all apartments at least 3 business days before move-ins to ensure apartment is ready for the new resident
Work with Maintenance Director to ensure vacant apartments are move-in ready within 7 days of vacancy
Host new resident welcome parties and new resident/family orientation programs
Work with resident welcoming committees
Assure that model and guest rooms are fully stocked and well maintained at all times
Keep an inventory of welcoming materials for the opening room and for new residents
Keep an inventory of all collateral material such as brochures and resident forms
Report significant incidents to Supervisor
Participate in committee meetings as assigned
Actively participate in all safety programs and performs all duties in a safe manner
Follow all rules, regulations, policies and guidelines as outlined in the Employee Handbook
May be assigned special projects or asked to perform other duties as required
