Sales and Marketing Coordinator
Department: Sales and Marketing
FLSA/Classification: Non-Exempt/Hourly
Reports to: Corporate Director of Sales and Marketing
Summary:
Coordinate all aspects of the application, approval, and the selection of residence finishes and move in processes for future residents. Coordinate the details related to production of marketing and advertising materials with agencies and third-party vendors. Schedule and manage marketing events. Manage the customer relationship management software. Provide administrative and clerical support for the Wesley Willows sales and marketing team.
Essential Duties and Responsibilities
- Coordinates the resident application process
- Creates marketing collateral to meet creative and branding standards of Wesley Willows including invitations, available home information sheets, posters, presentations, new resident announcements, program fliers, etc.
- Coordinates the details of the production of advertising and promotional programs with the Director of Marketing to work toward the mission and goals of the organization.
- Maintains office supply inventory and provides good control of all sales promotional and contract materials.
- Plans, coordinates and manages monthly marketing events.
- Works directly with Director of Facilities and Grounds to coordinate renovation process of existing homes and apartments for new residents.
- Collaborates with the Concierge to serve as liaison between the community and future residents prior to move-in.
- Accurately completes weekly and monthly sales and marketing reports.
- Updates website content weekly and manages social media platforms.
- Works additional and non-routine hours in order to accommodate prospective and future residents’ schedules and meet community sales and occupancy objectives.
- Perform all special assignments as directed by the Director of Marketing.

Minimum Education/Skills/Experience/Credentials:
- Minimum of Associate Degree or equivalent.
- Bachelor’s Degree in Business or equivalent job experience in marketing, sales, admissions or related field preferred.
- Comprehensive knowledge of MS Word, Excel, PowerPoint, and customer relationship management (CRM) software.
- Proficient reading, writing, grammar, public speaking and math skills; effective interpersonal relationship and communication skills; ability to work effectively and independently with various levels within Wesley Willows and Rockford area community leaders and organizations.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- Knowledge of principles and processes for providing customer and resident services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Physical Requirements:
- Must be able to sit for 6-7 hours during an 8-hour shift.
- Must be able to stand and walk for 1-2 hours during an 8 hours shift.
- Must be able to frequently lift 10 to 25 pounds while walking or bending at the waist and knees.
- Must be able to use wrists, fingers, and hands for operating a computer, utilizing a telephone, writing and grasping.
