Position Overview: The Internal Human Resources (HR) Specialist is expected to exercise autonomy in matters of relative familiarity and/or of low-to-average complexity. The Internal HR Specialist reports directly to the Vice President of Human Resources. In this role, you will consult frequently with more senior members of the team on matters that are unfamiliar or of above-average complexity. Recommendations on serious matters, such as those involving written performance warnings or employment terminations, are reviewed by a more senior team member before being finalized. The HR Specialist will receive relatively detailed instructions when being asked to fulfill a new or unfamiliar responsibility. The ability to ask the necessary questions to grasp the nature of situations and the true needs of clients is essential. The HR Specialist is counted upon as a subject matter expert in HR compliance-related matters.
Essential Duties:
Maintains accurate and up-to-date human resource files, records, and documentation.
Answers to frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refer more complex questions to appropriate senior-level HR staff or management.
Maintains the integrity and confidentiality of human resource files and records.
Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
Provides clerical support to the HR department.
May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
Conducts or assists with new hire orientation.
Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
Performs other duties as assigned such as:
Assisting in policy updates;
Recruit new candidates;
Creating employee handbooks;
Conducting HR compliance Audits according to instructions provided;
Conducting pieces of training.
Facilitate investigations into employee claims and grievances, including EEOC and FLSA claims, under the direct guidance of the executive team.
Employ strong research skills to expand knowledge independently, in areas required to answer questions of low to average complexity and to provide legal compliance-related information to more senior members of the HR team as requested.
Communicate clearly and effectively with employees and managers up to a senior level.
Demonstrate the ability to apply previously acquired experience and knowledge to resolving similar situations of gradually evolving complexity.
Stay informed of developments in employment-related laws, trends, precedent-setting rulings, State and National; function as a reliable go-to resource in these areas.
Consult an HR Generalist, HR Business Partner, or HR Manager /Director before making a recommendation involving employment termination. The HR Specialist is expected not to advise independently in such matters.
Have any written performance or conduct warning, or related guidance, reviewed by the Vice President of Human Resources.
Education & Experience:
1-2 years’ prior experience in an HR Administrative, Specialist, or recruiting role, or the equivalent, is preferred.
Proven proficiency in all areas listed under Knowledge, Skills, and Abilities, above.
Additional Skills:
Excellent relational skills.
Excellent oral and written communication skills. Strong working knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. To be evidenced by the following:
Oral Comprehension – The ability to listen to and understand information and ideas presented through spoken words and sentences.
Oral Expression – The ability to communicate information and ideas in speaking so others will understand.
Speech Clarity – The ability to speak clearly so others can understand you.
Speech Recognition – The ability to identify and understand the speech of another person.
Written Expression – The ability to communicate information and ideas in writing so others will understand. Written work product requires little if any grammar and /or spelling corrections.
Diplomacy. The ability to maintain a pleasant manner, tact, and diplomacy in challenging circumstances.
Strong organizational skills and a high level of attention to detail.
Ability to be productive and efficient under varying volumes of workload and rapidly shifting priorities.
