XR Studios, LLC Hiring for Studio Coordinator Job at Remote Full Time

XR Studios produces high-end real-time immersive creations by brilliant people using next generation technology.

Each XRS studio location from a leadership, financial and staffing respect needs to run like a stand alone studio. Each studio and each stage has a specific ecosystem for people, projects, gear and fees. The studio department is a service provider to the XR Production Co. The XR stages/studios provide the best place and gear to do an XR Production. Additionally, it is the home of some of the directors and integrators who require workspaces and equipment for their non-shoot day work. The Studio team also supports and cares for these spaces.

SUMMARY OF THE POSITION

The XR Co-Ordinator assists the studio manager in running the everyday care and keeping of the physical facility and staff. Additionally, they are responsible for shoot day coordination with the project manager, crew and director of sales to provide a great client experience.

MAIN RESPONSIBILITIES

Creates:

• A renowned facility to shoot XR/AR/MR productions for high-end clientele
• An inviting and exciting environment for productions and staff.
• A safe and secure studio experience for anyone who steps through our doors

Owns:

• Assisting the Studio Manager in day to day operations.
• Day to day office/studio environment and supplies
• Ensure craft service and water for internal staff is stocked and reorder when necessary
• Track both office and studio supplies and ordering when necessary
• Communicate with SLPS cleaning staff to ensure offices and studios are cleaned nightly
• Communication with stage management to open dressing rooms when necessary
• Shoot day client and crew XR Hospitality experience
• Ensure craft service and water for internal staff is stocked and reorder when necessary
• Track both office and studio supplies and ordering when necessary
• Communicate with SLPS cleaning staff to ensure offices and studios are cleaned nightly
• Communication with stage management to open dressing rooms when necessary
• Order crew lunch/2nd meals when needed
• Go on runs, errands, pick ups, transport gear, furniture, etc
• Expense reporting for office/studio and supplies
• Receiving receipts and storing on Google Drive
• Updating expense ledger daily based on Amex purchases
• Coding of purchases to projects when necessary
• Receiving receipts and invoices for shoots and updating expense and gear tracker
• Assist with project closeout of expenses
• Demo and walk through calendars.
• Updating studio calendar when demos and walkthroughs are scheduled
• Rescheduling when necessary
• Email communication with incoming demos to ensure smooth studio entry
• Greeting potential clients outside studio before demos and walkthroughs
• Keeping internal crew up to date with demo schedules
• Shoot day logistics like parking and PA’s
• Assists with keeping crew list up to date
• General communication with freelance staff for shoot day logistics
• Inputting names to GateWorks for internal and external crew to allow studio entry
• Staging of craft service, catering, clients
• Production Assistant scheduling and duties
• Covid protocols and security
• Communicate with client CCOs to ensure internal staff is compliant with shoot day covid protocols
• Staying up to date with local mandates on masks and vaccines
• General studio cleanliness
• Ordering PPE
• Some travel arrangements both shoot day and general corporate

REQUIREMENTS OF THE OF THE POSITION

Experience:

• 2 years of production experience

Specific Requirements :

• Back-office production strategies as well as on-set experience
• Ability to work with speed and diligence, and maintain professionalism in a fast-paced environment
• Recognized for your ability to work well and collaboratively problem-solve as part of a diverse team
• Excellent computer and technical literacy skills (MS Office, standard editing and productions software);
• Experience and demonstrated success with fast-growing, multi-site organizations;
• Proven client focus, excellent interpersonal and communication skills
• The ability to exercise judgment and maintain confidentiality;
• Ability to work quickly and efficiently
• Excellent organizational skills and attention to detail.

Physical Requirements:

May be asked to work in an office environment. May be asked to work in an active studio environment. May be exposed to elements such as dust, industrial materials, and noise. Prolonged periods of standing, kneeling, stooping, climbing, and lifting

Must be able to lift up to 75 pounds at times. Must be able to lift up to 50 pounds overhead.

Must have ability to travel throughout facility as required, including when area is partially or mostly obstructed.
