Essential Duties and Responsibilities include the following:

Administrative Assistant

Responsible for answering incoming telephone calls, determining purpose of callers, and forwarding calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

• Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
• Responsible for sending and receiving U.S. Mail, Federal Express, and special mailings. Maintain postage levels on postage meter and mailing supplies. Open, sort, and distribute in-coming mail. Maintains physical stamp box.
• Monitors incoming faxes and distributes to proper people.
• Reviews accuracy of grain ticket processing and hold report. Scans tickets into Summit software.
• Utilizing MAPCON and Summit programs completes purchase orders and manages process through receipt of goods/services. Submits paperwork for timely payment and reconciliation of errors through Accounts Payable.
• Maintains files and assists Plant Manager and EHS Coordinator in organization of documents.
• Assists and provides backup to Scale House Operator.
• Orders office supplies maintains appropriate inventory of regularly used supplies.
• Performs other clerical duties as needed, such as word processing, filing, photocopying, and collating.

Human Resources Assistant

Maintain a continuous recruiting model in to source the best talent for NCP and Anew. This includes overseeing Job Postings (internal, website, schools, traditional media, social media, referral, staffing firms, etc.), pre-screening of potential candidates before actual interview by supervisor and facilitating the interviewing process for each opening. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process. Verify past employment and conduct reference checks of candidates for employment. Completes I-9 Forms, verifies I-9 documentation and maintains I-9 files. Submits online investigation requests and assists with new-employee background checks.

• Oversees new employee orientation process to foster positive attitude toward company goals. Process all new-employee paperwork, adhering to all government standards that apply and ensuring all necessary paperwork is properly filled out and submitted to appropriate persons.
• Administers company service award programs.
• Maintains employee information by entering and updating employment and status-change data into HRIS and generates scheduled or requested reports to assist management. Keeps employee records up-to-date by processing employee status changes in a timely manner. Assists in maintaining employee files in compliance with applicable legal requirements and upmost confidentiality.
• Maintains knowledge of legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance. Responds to employee inquiries regarding policies, procedures, and programs.
• Prepares employee separation notices and related documentation (including unemployment responses and maintenance of files), and conducts exit interviews to determine reasons behind separations.
• Serves as a resource to hear employee complaints and counsel employees in proper resolution. Keeps senior management informed of employee relations issues and directs appropriate matters to the VP Human Resources. Acts as an unbiased advocate for employee concerns to management.
