Overview: The Administrative Assistant is responsible for office management, and supervising staff. Performs administrative, and budget related duties. Assists the director/manager with department responsibilities. Participates in performance improvement and continuous quality improvement (CQI) activities. Responsibilities: Plans, schedules, and organizes daily activities for Department Head, and less experienced clerical staff where needed. Screens, evaluates, and sets priorities for visitors and other contacts, and provides appropriate direction.Researches information, discusses policies with department managers, and maintains all departmental manuals including policies, procedures, and job descriptions.Prepares department statistics in various areas such as employee and patient incidents and assists in preparing reports.Coordinates and schedules all meetings and appointments.Prepares and maintains purchase requisitions, personnel action forms, and work orders for office repairs. Ensures office supply levels are maintained. Functions as a liaison between the supervisor and other hospital staff.Maintains confidential records for the department and staff.Handles correspondence, including typing letters and reports.May assist in managing payroll activities.Performs other duties as assigned. Qualifications: Education:Requires a minimum formal education of High School Diploma, or GED.Bachelors degree preferred.Experience:Minimum of three (3) years job-related experience, preferably in medical office or hospital. Specific experience in department assigned is preferred.Knowledge and Skills:Proficiency with Office PC’s, Desktops, and Laptop software in addition to familiarity with Microsoft Office softwares to include Word, Excel, Outlook, etc.Good interpersonal skills a must.Ability to communicate effectively in English, both verbally and in writing.Good written and verbal communication skills.Must be able to multi-task tasks as assigned, and be very organized, and detail oriented.Physical Requirements:Position may require prolonged periods of standing, walking, talking, sitting, hearing, and bending throughout the work day. May include some repetitive motions.
