Summary: The HR Administrative Assistant will provide quality administrative support to the Human Resources Department and employees by assisting in establishing and maintaining administrative systems and processes that allow effective management of HR services provided.
Education & Qualifications: Associate’s degree in Business, Human Resources or Administrative Assistant preferred. A minimum of two years of related work experience is required. Excellent interpersonal, telephone and customer service skills required. Excellent computer skills and data entry accuracy required. Proficiency in MS Word and Excel is required. Valid PA Driver’s License and current car insurance is required. Use of personal vehicle for business use is required. Hours are typically Monday-Friday from 8 AM to 5 PM. Occasional evenings and weekends may be required.
Essential Functions:
· Assist in establishing and maintaining administrative systems and processes that ensure effective management of all HR services.
· Become skilled with and function as administrator of learning management system.
· Pleasantly and professionally answer incoming phone calls; greet and assist internal and external customers according to their needs.
· Process Human Resources Department day-to-day transactions.
o New Hires – offers, letters, appointments, work permits, required clearances, badges, files, and paperwork.
o Transfers – offers, letters, appointments, files, and paperwork.
o Accurately and efficiently enter employee data into Ultipro.
· Manage and process required criminal background checks and child abuse clearances to ensure compliance.
· Administer employee benefits upon hire. Assists with benefit changes as needed.
· Create and maintain organized department and employee files.
· Compile and maintain new hire benefit packets.
· Keep benefit forms, employee hire forms and checklists updated and organized. Ensure forms in Ultipro are current.
· Compile, distribute and track (if required) employee memos, Holiday memos and gift card inventory, and inventory of items for employee reward programs.
· Organize, maintain, and track Hepatitis B vaccination program for DelGrosso’s Amusement Park.
· Organize, maintain, and track DOT files and Medical Examiner Cards for Company drivers.
· Manage, schedule, organize and maintain files for drug testing programs for Marianna Foods, DelGrosso Foods, DelGrosso’s Park and DG2GO.
· Complete PA Unemployment Compensation (UC) claims and review UC reports as directed.
· Provide information to Marketing Department for the Company newsletter, including but not limited to new hires, birthdays, and VISTO and Awesome Sauce award winners.
· Order office supplies, badge printing supplies, and copy paper for the office.
· Maintain current copies of all applicable employee licenses and certifications for all companies. Ensure all licenses and certifications are up to date, scanned, and entered into Ultipro to ensure compliance.
· Develop, coordinate and administer with assistance from other HR Team members, DAP, DGF, MFS, and DG2GO employee events including but not limited to training, recruiting, seasonal park parties, Christmas party, and open enrollment.
· Serve as a back-up to the mail courier position as needed. Travel to and from the post office to retrieve and deliver mail.
· Safely operate personal vehicle for company business.
Other Responsibilities:
· Maintain and protect employee, customer, and consumer confidentiality.
· Report to and from work at assigned time.
· Complete other duties as assigned.
· Must be honest and reliable.
· Must be able to work in a team atmosphere. Provide help and support to co-workers on an ongoing basis.
· Adhere to dress code policy.
