The Information Services & Technology Department (IST) is recruiting for an Administrative Assistant II (AAII) to join their Business Operations Team, which is responsible for confidential and complex administrative, financial, and clerical work related to the daily operations of the department. In particular, the AAII provides direct administrative support and assistance to the Chief Information Officer (CIO) and Senior Leadership Team of the department.
As part of the Business Operations Team, the AAII may prepare and process a variety of technical and complex documents related to the work of the department including correspondence, reports, contracts, policies, and procedures. compile data and prepare and update information for a range of purposes such as public information, social media, websites, and internal purposes. On an as-needed basis, they may support or perform accounting work as well as routine clerical tasks such as filing, duplicating, photocopying, assembling bulk mailings, etc. They may also travel from our offices on Los Gamos Drive to pick up and drop off various documents at the Marin County Civic Center.
As the primary administrative support position for the CIO and Senior Leadership Team, the AA II will perform a variety of executive support tasks, such arranging larger meetings and preparing meeting materials; coordinating meeting and event logistics; tracking and managing grants; receiving and screening visitors in person and over the phone; preparing a variety of departmental documents and reports; and at times responding to questions and issues for the Senior Leadership Team in their absence. This AAII will also directly support projects and programs such as Digital Marin and the County’s Technology Investment Board.
Remote Work Options: Some duties for this position may be performed remotely and options for a hybrid (telework/onsite) work schedule are available. However, the successful candidate must be able to report to County facilities for various meetings and work assignments upon short notice, as needed and when deemed appropriate.
The successful candidate will have experience providing administrative and executive-level support, including direct support to a Department Head or Senior Management team with high priority administrative and project needs. The ideal candidate has experience in accounting processes and practices and can perform high-stakes and complex technical tasks with a high degree of accuracy, reliability, and urgency. They are a proficient user of computer software programs including Microsoft Word, Excel, PowerPoint, and Outlook, and can learn new programs quickly, including department-specific programs.
Additionally, this candidate has significant experience updating websites, coordinating meetings and events, and tracking contracts and grants. The ideal candidate is adept at anticipating, understanding, and responding to the needs of internal and external clients and excels at establishing and maintaining positive working relationships. This candidate also thrives in collaborative environment and can manage their time to meet competing deadlines.
Experience providing executive-level and/or administrative support in a government agency is highly desirable.

Any combination of education and experience that would demonstrate possession of the knowledge and skills listed. Typically, the equivalent to three years of increasingly responsible administrative support experience relieving managers, supervisors or program administrators of clerical and administrative duties. Experience in a public sector or law enforcement environment or dealing with governmental, community and business representatives is desirable.
