SUMMARY OF JOB RESPONSIBILITIES:
Works under the direction of the Manager of the Associate Services Center with the primary responsibility for maintenance of all electronic and hard-copy personnel records. Organizes and scans both active and terminated personnel files in the Hyland OnBase electronic filing system. Serves as a representative of the HR Service Center with duties including but limited to: Responding to employee questions, processing of employee transactions utilizing HR ServiceNow, receiving and sending mail, file retrieval for Joint Commission surveys and other duties as assigned.
Works collaboratively to ensure mission achievement with a spirit of compassion and respect.
QUALIFICATIONS:
Ability to use office equipment such as: printers, scanners, fax machines, copiers, computers, laptops, and monitors.
Ability to type 35 words per minute.
Attention to detail.
Ability to use Adobe Acrobat to edit documents.
Knowledge of Microsoft Office applications such as: Teams, Word, Excel, PowerPoint, and Outlook.
EDUCATION:
High School Diploma or GED required.
EXPERIENCE:
1 year experience in utilizing an electronic filing system.
2 years demonstrated customer service experience required.
Previous experience in Human Resources preferred.
Previous experience in mail processing preferred.
Previous clerical experience preferred.
KNOWLEDGE AND SKILLS:
Knowledge and skill required to perform the job responsibilities for both technical and dimensional content.
Experience in working in Human Resources with fundamental knowledge of basic HR policy interpretation.
Customer service skills.
Experience in Microsoft Office applications.
Ability to use office equipment.

Attend weekly team meetings to receive updates on processes, policies, case work, etc.
PRINCIPAL JOB ACCOUNTABILITIES:
Maintenance of all electronic and hard-copy personnel records including organization, file maintenance and electronic scanning.
Responsible for mail retrieval and distribution. Receives mail and sends to the appropriate departments for processing.
Provides support in ServiceNow including case creation, processing requests, and resolving assigned case work.
Provides open positive communication, direction, and assistance to personnel regarding policies and procedures.
Monitors the HR Service Center fax/email box for distribution of requests to the appropriate departments for resolution.
Provides support in retrieving files for Joint Commission surveys, Regulatory Requests, subpoenas, etc.
Retrieves documents from the File Support Shared email to be filed, processed or routed to the appropriate department for resolution.
Sends out correspondence from other departments such as letters, files, forms, etc.
Prioritizes work to meet deadlines.
Performs other duties as assigned.
