Receives and responds to requests for information from the Mayor and City Council, citizens, and the general public.
Processes open records requests in compliance with state and federal law.
Prepares, distributes, and posts City Council meeting and work session agendas.
Assists City Clerk to prepare and post notices of public meetings and hearings; notifies news media as required by law.
Researches, composes, and proofreads written materials, including agendas, correspondence, contracts and amendments, policies, ordinances, and resolutions.
Attends City Council meetings; takes and transcribes minutes.
Indexes formal actions and posts approved minutes.
Assists with updates or changes to ordinances and in the distribution of changes to the Code of Ordinances.
Signs and executes documents in the absence of the City Clerk as authorized by the Mayor and City Council.
Assists in overseeing the city”s records management system.
Assists in maintaining property nuisance and abatement case files.
Receives, reviews, and processes various records and reports, including hotel/motel tax, occupation tax, alcohol license applications, and excise tax reports.
Assists in the preparing annual City Clerk”s and elections budgets.
Maintains office supply inventory; makes purchases as needed.
Assists with city elections.
Performs related duties.
Minimum Qualifications
Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

Physical Requirements
The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, walking, or stooping. The employee frequently lifts light and occasionally heavy objects, climbs ladders, and distinguishes between shades of color.

The City Clerk assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results
GUIDELINES
Guidelines include state and federal election laws, open records laws, records retention guidelines, and city and department policies and procedures. These guidelines are generally clear and specific but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
The work consists of related administrative duties. Unexpected requests contribute to the complexity of the position.
The purpose of this position is to provide administrative support for the City Clerk. Successful performance contributes to efficiency and effectiveness of office operations.
