The Absence Management Specialist is responsible for managing cases relating to leaves of absence from initial request to return to work. Manages inquiries, requests, and cases to closure, while appropriately escalating complex cases. Provides accurate and timely processing of HR transactions specific to absence.
Responsibilities:
Reviews caregiver eligibility for FMLA, short-term disability and medical leave. Sends required eligibility and designation notices. Ensures compliance with internal and external policies and regulations.
Reviews medical documentation and works with nurse case manager to approve for appropriate benefit pay as well as job protection benefits.
Communicates with managers and Human Resources regarding return to work dates, exhaustion of benefits, eligibility requirements and accommodation requests
Communicates and explains determinations and leave requirements to caregivers.
Creates leave cases in HRIS, timekeeping and payroll systems. Schedules payment for caregivers on unpaid and paid leaves of absence.
Troubleshoots pay issues and coordinates with payroll to resolve issues and comply with payroll processing deadlines.
Serves as point of contact for leave inquiries and questions. Advises employees and managers on the organization’s leave programs, including maternity or paternity leave, medical or disability leave, military leave, or unpaid leave.
Serves as escalation point of contact support to incoming calls/emails/requests from customers (e.g., caregivers, managers, candidates, dependents) to answer questions, resolve issues, and respond to inquiries related to specific area of focus (e.g., Benefits, Absence).
Refers complex cases requiring interpretation to appropriate COE (center of excellence) if additional research or expertise is required.
Provides program input and recommendations to COE Leaders.
Completes required regulatory and compliance reporting.
Responsible for managing the life cycle of a leave case from request to return to work.

Education:
Bachelor’s degree; Human Resources field preferred.
Certifications:
None required.
Complexity of Work:
Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision.
Must be proficient in Microsoft applications including Windows and Microsoft Office.
Must be able to work in a stressful environment and take appropriate action.
A high degree of time management, organizational and communication skills to effectively manage a large caseload.
Must understand and interpret company polices and complex state and federal leave laws.
Work Experience:
A minimum of 3 years of experience in Human Resource or Leave of Absence Administration required.
Offset: Minimum 4 years of experience and a High School Diploma/GED or equivalent.
Customer service experience.
Ideal candidates would also have Project Management experience.
Physical Requirements:
Typical physical demands include a high degree of dexterity to produce material on a PC; normal or corrected vision and hearing.
Requires constant sitting and data entry with a headset.
Requires occasional lifting or carrying of up to 25 pounds.
Personal Protective Equipment:
Follows standard precautions using personal protective equipment as required.
