Our team works closely with clients to understand their needs and deliver a tailored suite of services including strategic CFO Consulting, Financial Reporting and Accounting, Technology, Wealth Management, and Family Office Services.Your Impact:* Contributing as a member of the executive support team, providing high touch support for the Chairman/Founder in the following capacities:* Calendar management: actively engaging with the Chairman/Founder to confirm all meeting details and optimize time management. Responsibilities include scheduling appointments (business and personal), allowing for review time, work blocks to prepare and debriefs; arranging, confirming and reconfirming all logistics in advance* Meeting management: coordinating and confirming all meeting details including participants, conference room, video/conference details, building access, catering, etc.* Relationship management: developing and maintaining strong relationships across business and personal teams, as well as with client counterparts and their executive assistants. Developing deep knowledge of personal and professional networks; support Chairman/Founder in correspondence with key relationships and coordinating event invitations; ensure Chairman/Founder has regular interaction with key constituents and contact information is kept up-to-date* Inbox management: monitoring email to prioritize receipt and responses; drafting and sending communications on behalf of Chairman/Founder as directed* Travel and Entertainment management: supporting all business and personal travel and entertainment arrangements including providing options and/or booking for air, ground and rail transfers, accommodations, event tickets, etc. Confirming technology/connectivity, passports, visas, vaccinations, etc are identified and communicated in advance* Information Management: improving upon current electronic file management system for security, ease of access and version control; streamline flow of materials, calendar recurring management reporting and establishing organization systems to ensure all materials are received, reviewed and returned and/or destroyed; maintaining information tracking databases and all personal and business subscriptions* Project management: tracking Chairman/Founder priorities and requests to ensure timely responses and execution; providing status updates* Wellness management: ensuring all doctors, trainers, nutritionist, etc. appointments (routine and ad hoc) are prioritized, all necessary paperwork is submitted in advance, and that dietary and fitness regimes are maintainedWhat you’ll offer:* 10+ years of Executive Assistant experience, working directly for CEO, who ideally is a founder/entrepreneur or someone who has had a vital role in a growing business* Bachelor’s Degree required* A strong work ethic, responsiveness, sense of urgency, persistence, resourcefulness and motivation 24/7 flexibility and responsiveness including “off hours” (nights and weekends)* Positive, can-do attitude; collaborative mindset in team environment; flexibility to the evolving needs of Chairman/Founder; ability to listen, take feedback and constructively apply to behaviors* Ability to seamlessly integrate business and personal priorities of Executive Chairman/Founder, who is actively involved with family and community through philanthropic, political and social engagements* Polish/poise, unflappable, pro-active and customer service oriented* Meticulous organization, attention to detail, follow up and execution is a must* Superior time management skills, ability to effectively manage/coordinate simultaneous projects, and successfully prioritize and multi-tasks with sound judgment; understands urgency and communicates effectively to manage expectations of all involved* Excellent judgment and the ability to balance resourcefulness and discretion, demonstrates ability to protect confidential and proprietary information of the firm* Ability to learn quickly, work independently and prioritize multiple tasks in a deadline driven environment* Exceptional written and verbal communication skills* Must have strong technical skills with Microsoft Outlook, Word, Excel, PowerPointWhy join Geller & Company?* Opportunity to scale your experience beyond the scope of your role* 100% funded health, vision, and dental insurance* 401K plan with company match* Generous PTO and paid holidays* Philanthropic opportunitiesWhat’s next?If this sounds like you, apply today and Talent Acquisition will review your application and get in touch if there is match.Geller & Company is an equal opportunities employer.
