Position Overview
We are seeking an Academic Executive Assistant to join our dynamic team. If you are well-organized, adaptable to change, and possess a keen eye for detail, we encourage you to apply!
Responsibilities
Executive Director Support:
Act as the point of contact between the Executive Director and internal/external stakeholders.
Manage and coordinate calendars for the Executive Director, covering clinical, academic, and organizational responsibilities.
Handle communications related to the Executive Director’s professional relationships, including University relations, sponsor relations, and regulatory/government agencies.
Coordinate professional travel arrangements and assist with reimbursement paperwork.
Manage professional credentialing, accreditation, licensing renewals, and appointments.
Coordinate abstracts, manuscripts, and presentation submissions.
Provide editorial support for abstracts, manuscripts, and presentations.
Perform general administrative tasks such as document preparation, filing, copying, scanning, and faxing.
Attend key project and leadership meetings as needed.
Board Of Directors Support
Provide expert-level support for the Board of Directors and CPC organization structure.
Manage communications, meeting organization, logistics, meeting minutes, resolutions, and other support for the Board of Directors.
CPC Support
Arrange conference calls and meetings, including catering, venue, and scheduling, with support from the CPC Meeting Coordinator.
Organize and support weekly Leadership Committee meetings, document minutes, and tasks.
Manage academic and CPC social media and public relations posts.
Coordinate calls and communications with existing and potential clients in collaboration with the Business Development team.
Coordinate key leadership meetings, including those at congresses.
Qualifications
High School Diploma or GED accepted; advanced degree (e.g., Bachelor’s, Masters) preferred.
Minimum 5 Years Of Experience In An Applicable Role.
Experience in academic and/or research domains.
Exemplary work ethic, sound judgment, and a professional demeanor in all circumstances.
Ability to independently prioritize requests and proactively respond with updates.
Exceptional interpersonal communication skills.
Strong writing and editorial skills.
Excellent organizational, leadership, and problem-solving skills.
Excellent planning, time management, and attention to detail.
Advanced computer skills, experience with EndNote, and proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
Flexibility and adaptability to change.
Ability to work collaboratively as a member of a team.
Targeted Compensation: $23.75/hr – $28.85/hr
