Job Description Summary
California Times is looking for a resourceful HR Specialist to join our growing Human Resources team to support across our businesses, including the Los Angeles Times and San Diego Union-Tribune.
As an HR Specialist you will act as a technical resource and internal partner to the HR team, as well as employees and managers, by providing professional support on guidelines, employee engagement issues and company policies. You will have a complete understanding of our HCM system, employee relations, onboarding approach and tactics, HR administration and employee record management.
Job Description
Main Responsibilities:
Develop a cadence of necessary meetings with internal HR partners to support their needs, such as opening job requisitions and ensuring approvals are completed; preparing employee file requests, verification of employment letters and subpoena requests
Implement human resources programs by providing human resources services, including talent acquisition, staffing, employment processing, records management, safety and health, employee relations and retention, compliance, and labor relations; completing personnel transactions
Prepare paperwork, schedule, and facilitate a smooth new hire onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience:
Owns, updates, and maintains the complete onboarding experience for new hires, including New Hire orientation
offboarding process including final check processing, collection of equipment, exit interview, etc.
Plan onboarding strategies and new procedures and policies to continually improve the efficiency of the HR department and organization as a whole and to improve the employees’ experience
Handle all administrative tasks for onboarding, new hire orientation, and exit process, including entering data into HR information system and auditing for accuracy and compliance
Provide an effective and dedicated HR advisory service to employees, supervisors, and other HR clients in relation to company policies and HR guidelines
Conduct workday audits by partnering with the WorkDay team to develop reports and functionality that will improve our ability to ensure compliance
For Union (LATG) represented employees collect and process work schedule changes, employee meal waivers, and union dues forms
Acts as EHS liaison, providing necessary employee information in order to open Worker’s Comp claims, directing employees to EHS for ergonomic assessments, and assisting in the safety committee
Monitor compliance with applicable Federal, State, and local laws as well as company policies, notifies HRP and as deemed appropriate managers of potential issues and proposes corrective action
Proactively identify trends and issues regarding human resources related concerns and work in collaboration with HRPS to find, plan and execute solutions
Undertake the responsibilities of the role using the tools, software or technologies that may be available or required at the time
Achieve the outcomes and results of the role as described above using the most appropriate methodologies and best practices available or required
Essential Functions:
Provide support to the HR team that includes serving as a liaison between other departments (i.e. payroll, benefits etc.) to answer employee and management questions
Collaborates with HR team and/or client groups to coordinate, facilitate and manage HR programs and processes
Partner with the workday team to develop reports and process to effectively support the HR team
Job Requirements:
Minimum of 3 years of related human resources experience including experience with HCM or Talent Management systems
Ability to apply discretion and maintain a high level of confidentiality when handling sensitive information
Resourceful, problem-solving aptitude and thorough knowledge of HR procedures and policies
Solid knowledge of principles, theories, and functions on matters of Human Resources
Strong communication skills and ability to communicate effectively across all management and functional levels
Knowledge of Microsoft Office, Google Suite, or other online collaboration tools to send and receive information
Preferred Qualifications:
Bachelor’s degree
HR Certification (i.e. SHRM, PHR)
