LOCATION: Newport, Rhode Island – We are looking for local candidates who are eligible to work in the US.
Our client is a leader in custom built, management and global operations of some of the world’s most luxurious Superyachts. Your team provides an owner and captain with the highest level of personal service available in our industry.
DESCRIPTION :
Our client is growing and needs a division and is seeking experienced professionals to join our team. This role will support the management team in meeting the high standards and level of service that are required. You will coordinate with Yacht Managers, Accounts team, Captains, Owners, Owners’ Representatives, Crew Employment/Payroll Services, Insurance Providers, and Crew, to carry out the day-to-day tasks below. You will participate in policy discussions and changes in keeping up with the evolving international and Flag State regulations governing crew employment on private and commercial superyachts.
**Opportunities for both Lead and Support positions are available, as well as opportunities for training and advancement.
Responsibilities include, but are not limited to:
Crew Administration
Issuing crew employment agreements and amendments, wage releases, letters of authority and sea service testimonials.
Liaising with Captains, Owners and Crew Employment or Payroll companies to complete crew onboarding/offboarding and contractual terms.
Coordinating and developing crew joining and leaving procedures.
Issuing documents and liaising with Flag States to ensure compliance with the ILO Maritime Labor Convention (MLC-2006).
Maintaining tracking systems for crew leave time.
Tracking certification expiration dates and renewals.
Assisting with applications for Flag State endorsements and discharge books; etc.
Assist with compliance with Minimum Safe Manning requirements.
Crew Medical Insurance
Enrolling crew in medical policies.
Coordinating annual renewals of medical policies, including comparison summaries of quotes and policies to assist Owners in making best decisions on policy choice.
Reviewing monthly/annual invoices.
Assisting crew with claims processing and questions about policies.
Maintaining and updating medical claim procedures and communicating all policy information and documentation to crew.
Liaising with crew medical insurance companies to assist with emergency and critical care situations.
Provide backup coverage to Executive Administrator, including, but not limited to: fielding calls, office administration, booking crew travel and crew travel letters, etc.
Provide support to Operations Manager and Yacht Managers as needed.
Must be available for occasional travel.
EXPERIENCE:
The ideal candidate will have previous experience and background in the superyacht industry or in Human Resources, paralegal, contracting, etc.
Knowledge of superyacht regulations and operation a plus, but not required.
Most importantly, the candidate should be well organized, have excellent communication skills, possess strong attention to detail, and have a professional and team-oriented demeanor.
The candidate should be able to work well both independently and as part of a team.
A high degree of discretion and confidentiality is essential.
These positions are Full-Time in the Newport office with occasional domestic and international travel as necessary, usually to attend trade shows and trainings.
Hybrid in-office and remote schedule is available after completion of an initial term (to be specified at time of hire).
