Basic Function

Searching for a self-motivating individual to perform a variety of functions to ensure efficient, accurate and timely processing of payables and receivables in accordance with the Company’s guidelines and procedures. Review and data entry of AP invoices, preparation of vouchers, checks and accruals. Perform a variety of daily recurring duties of an accounting nature and master the NetSuite ERP system. Perform cash applications. Assist in month-end closing procedures.

Qualifications

Minimum of 5+ years of previous experience in payables preferably in a manufacturing environment needed. The individual must be a motivated, results-driven, self-starter with strong attention to detail and deadlines. The individual must have excellent oral and written communication skills as well as strong organizational and interpersonal skills. The individual must be computer literate and be proficient using Microsoft Excel and Word software. The individual will also be trained to use our NetSuite ERP system as utilization of the system is a key component of this position in order to perform daily tasks. NetSuite experience highly preferred.

Nature and Scope

The incumbent reports to the Controller. No one reports to the incumbent.

This position is responsible for performing a wide variety of duties related to the accounts payable area. These duties include reviewing/processing invoices and debit memos in NetSuite, as well as preparing weekly checks runs. The incumbent will prepare monthly AP accruals and address day to day issues that arise in AP.

The incumbent will regularly communicate with vendors, customers and employees to address and resolve any issues.

This position will perform and assist in month-end closing procedures including preparation of journal entries, AP Accruals and account reconciliations.

Utilization of the NetSuite ERP system is a key component of this position. The incumbent must develop an extensive knowledge of the system in order to perform daily tasks.

Essential Functions

• Prepare, review, obtain approval and run weekly payment batches for checks, ACH and wires. Assemble payment batch voucher packages for review by the Controller.

• Record the daily cash received to ensure that all cash is posted and reported accurately and timely to reflect a true aging of receivables.

• Responsible for researching and resolving customer invoice discrepancies and issues timely.

• Enter vendor PO invoices into NetSuite that have been received and could be matched to a receiver, thus completing the three-way match. Verify PO pricing and quantity to invoice and resolve and obtain payment approval of discrepancies from the buyer.

• Scan and email Non-PO invoices (such as utility, freight and services invoices) to the appropriate manager for account number assignment and signature approval.

• Prepare, review, obtain approval and run weekly payment batches for checks, ACH and wires. Assemble payment batch voucher packages for review by the Controller.

• Maximizing vendor payment terms as it relates to paying when due.

• Maintain both electronic and paper AP files, including appropriate backup.

• Prepare monthly AP accrual for freight, temp help, in transit inventory and other services/utilities that have not been already booked in NetSuite by the end of the month.

• Prepare and upload journal entries in support of monthly close.

• Reconcile, investigate and resolve variances in general ledger accounts.

• Responsible for preparation of the quarterly Sarbanes revenue cutoff control.

• Assist in special projects as needed.

Job Type: Full-time

Pay: $55,000.00 – $65,000.00 per year
