Responsibilities:
We are seeking a new grad to serve as our HR-WOE (Workplace Operations Experience) administrative assistant. This position will support the SVP, HR-WOE and the department daily and be exposed to all subgroups of the department. We anticipate this role to grow into another role in the department after 18 to 24 months.
Our HR-WOE administrative assistant position requires excellent organizational skills and the ability to handle sensitive information confidentially. If you are passionate about learning about HR-WOE policies and procedures and want to help create a nourishing workplace, this position is for you. Ultimately, this position will gain HR-WOE experience in a collaborative, fast-paced work environment by supporting and improving all HR-WOE functions.
Key Accountabilities:
Provides both routine & non-routine administrative support to management, work team and/or department, handling high volume of competing administrative task requests (via multiple clients) that require professional discernment on appropriate urgency/prioritization to complete.
Provide calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company.
Management of travel arrangements and timely filing of expense reports.
Plans, schedules and coordinates departmental off-site meetings and events (manage day-of support mechanisms where applicable)
Provide support to the team with various projects, including compilation and formatting of documents and meeting materials, with the ability to balance multiple projects at a time.
A “Self-starter” mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and company as a whole.
Regularly interacts with internal and external contacts to coordinate department/manager business needs.
Handles details of a confidential and critical nature.
Perform other administrative duties related to the group management, including conference registrations, managing technical and facilities related issues, ordering office supplies, and other tasks, as needed.
