The role of the Executive Assistant is to provide comprehensive administrative and management support to the Senior Executive Assistant
and assist in supporting the Director of the Development Initiative Lab, a senior-level faculty member, and Nobel Laureate of the Kenneth C.
Griffin Department of Economics. The Executive Assistant will handle various tasks independently while maintaining a high level of
confidentiality and discretion in dealing with sensitive matters.
Key responsibilities of the Executive Assistant
include:
1. Scheduling and Coordination: Manage calendars and schedule high-priority meetings for the supported individuals.
Coordinate and organize meetings, workshops, and special events, ensuring all necessary arrangements are made.
2. Strategic Support:
Provide exceptional strategic support by assisting with various projects and initiatives. This may involve conducting research, preparing
reports and presentations, and analyzing data as required.
3. Confidentiality: Uphold confidentiality standards and handle sensitive
information and matters with discretion. Maintain confidentiality in all interactions and ensure that sensitive documents and conversations
are handled appropriately.
4. Office Support: Perform high-level office support activities, such as answering phone calls, managing
correspondence, drafting and editing documents, and maintaining files and records. Handle administrative tasks efficiently to maximize
productivity.
5. Process Improvement: Identify opportunities to enhance and optimize processes and procedures within the university
or department to improve efficiency and effectiveness. Implement improvements to maximize productivity and streamline operations.
6.
Location Support: Provide support related to office facilities, ensuring they are properly functioning and well-maintained. Collaborate with
relevant teams to address any issues and ensure smooth operations.
7. Candidates must have 3- 5 years minimum experience as an
executive assistant in an University setting or C- Suite level support in an organization.
8. This is a fast paced role with constant
competing priorities.
Overall, the Executive Assistant plays a crucial role in providing administrative and management support to
facilitate the smooth functioning of the supported individuals’ activities. They must possess excellent organizational, communication, and
problem-solving skills, as well as the ability to work independently and manage multiple tasks simultaneously.
