The Contract Administrator reports to the Credit Manager, and is located in Omaha, NE. or Lenexa Kansas.

POSITION SUMMARY:

This role involves reviewing, creating, and processing internal and external job paperwork, including contracts, purchase orders, invoices, receipts, work orders, and any other relevant paperwork associated with our foodservice equipment contract business. The successful candidate will ensure accuracy, completeness, and timely completion of paperwork, while collaborating with internal and external stakeholders.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

• Contract Administration: Oversees foodservice equipment purchasing/selling contract documents for equipment, materials, products or services, and ensures they comply with company guidelines.
• Cost Estimator: Reviews contract documents for performance requirements, delivery schedules, and cost estimates to ensure accuracy and completeness.
• Bid Reviewer: Reviews bids from other companies and determines if they meet contract requirements.
• Gatekeeper: Ensures jobs have necessary information per company policy.
• Contract Amendments: Requests or approves contract amendments or extensions.
• Contract Advisor: Advises proper departments about contractual rights and obligations.
• Sales Coordinator: Coordinates with sales and operation departments on requirements to fulfill contracts.
• Invoicing: Creates monthly AIA invoices. Prepares manual invoices according to contract and delivery dates. Creates invoices within ERP system as needed at job close.
• Subcontractor Liaison: Serves as a liaison between the company and our subcontractor’s Contract Admins.
• Payroll Verification: Updates timekeeping system with job codes and determines whether certified payroll or prevailing wage applies.
• Payroll Reporting: Works with HR to complete and file prevailing wage and certified payroll reports with contractors and agencies.
• Compliance Verifier: Verifies compliance with I-29.
• Pay Application Preparer: Prepares accurate and timely pay applications in accordance with contract specifications.
• Other Duties: Performs other assigned duties as needed.

QUALIFICATIONS & EXPERIENCE:

• High School Diploma required; Bachelor’s Degree in Accounting, Construction Management, or related field preferred
• 2 years of experience in a professional office environment
• Construction Contract Management experience a plus
• Experience working in a sales and distribution environment a plus
• Previous foodservice industry or construction industry experience preferred
• Ability to successfully pass a background check
