Departmental Overview
As a central service center for the entire campus, the Graduate Division works to guide and assist students from the moment of admission, through the various milestones of their progress, to the completion of their degree requirements. We provide academic, personal, and professional support services that are vital to the everyday well-being and life-long successes of Berkeley master’s, professional, and doctoral students. As the authoritative resource and chief advocate for graduate education, the Graduate Division ensures the equitable administration of policies governing graduate studies across Berkeley’s 14 schools and colleges. As the administrative arm of the Academic Senate’s Graduate Council, we partner with the faculty and staff of each program and the deans of each school and college to maintain the world-renowned quality of Berkeley’s graduate education.

Responsibilities
Serves as primary Graduate Division Representative and expert for limited number of assigned departments’ progression toward degree requirements; advises students and GSAO’s on academic advancement such as capstone, thesis, qualifying exam dissertation committee configurations, and additional degree requirements (i.e., normative time, candidacy, foreign language requirements, etc.). Reviews dissertations and theses for conformity to standards set by Graduate Division, the UC Library, and UMI-Proquest dissertation publishing requirements. Advise student of problems and possible solutions to allow the manuscript to be submitted. Tracks and manages student manuscript embargoes and coordinates accurate release to UMI-Proquest. Within the Graduate Division’s Graduate Student Services office, greets and directs visitors to the appropriate office based on initial triage and assessment of the visitors’ needs. Refers to other campus offices as necessary. Oversees general office management duties, independently ordering supplies and services as needed to smoothly provide support to staff and visitors. Provide assistance to the Assistant Dean for Student Services on special projects pertinent to the overall student service mission or to the Student Services Office. Reviews applications/eForms such as applications to advance to candidacy, qualifying examination, change of degree goal, addition of major, filing fee, and in absentia statuses. Identifies students who should be placed on probations, cleared from probation, lapsed, or terminated. Analyzes requests for exception to policy, research or request additional information, if appropriate, and work with Director or Dean on analysis and decision. In depth knowledge and understanding of complex Academic Senate policies is required. Assists in the preparation of the final degree list each semester. Verifies all degree requirements have been met, including but not limited to required coursework, units, grades, department-specific milestones, and GPA. Serves as primary contact for UCB with regard to graduate exchange programs and coordinates paperwork and approval by working with Graduate Divisions at other UC campuses and peer institutions. Academic Advising Provides advice and assistance to students on academic and degree progress and major requirements; determines whether problem can be resolved through established procedures or will require special action and responds accordingly. Serves as front-line triage to determine nuances often present in graduate student queries, ascertain which unit(s) should respond, and implements requests or decisions by appropriate advising or management staff. Reviews, responds, or reroutes emails and requests sent to various student services general email accounts. Receives and updates graduate group membership lists in campus solutions. Generates and sends to students requests for certificate of completion. Reviews and approves previously published/co-authored material requests. General office support including calendaring, scheduling, supply orders, and data entry.
Required Qualifications
Knowledge of advising and counseling techniques. Knowledge of and/or ability to learn University-specific computer application programs and pertinent databases. Ability to multi-task; verbal and written communication skills. Interpersonal skills. Multicultural competencies; ability to work with diverse populations. Basic knowledge of student immigration and visa processes pertaining to international students and scholars. Ability in problem identification and reasoning. Skills in service orientation, organization, active listening, and critical thinking. Knowledge of and/or ability to learn University processes and procedures. Understanding of and/or ability to learn University rules and regulations.
Education
Bachelor’s degree in related area and / or equivalent experience / training.
Salary & Benefits
This is a full-time (40 hours/week), career position, eligible for full UC benefits. This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the range of $22.65-$32.52.
