Overview
Our Human Resources Assistant provides support to the Human Resources Generalist and the Director of Human Resources by performing highly confidential administrative support duties and responsibilities thereby relieving the Human Resources Generalist of minor and routine administrative business details. Organizes office operations and procedures for an efficient workflow.
Qualifications
Education:
High school diploma or equivalent required
College level courses preferred
Experience:
A minimum of one (1) year experience as clerical support
Ability to work with computers and the necessary software applications used by the department
Licenses/Certifications:
None required
Responsibilities
Provides administrative support to the Human Resource Department. Keeps minutes of staff and committee meetings.
Performs advanced administrative/support duties such as composing correspondence, auditing employee files monthly, and maintaining office supplies and equipment.
Acts as front desk to the HR department. Responsible for answering phone calls, scheduling appointments and directing employees to the appropriate HR representative; issues name badges.
Maintains employee personnel, confidential and medical files by assuring filing is complete.
Fingerprints employees on live scan equipment. Maintains record of Level 2 Background Screening for new employees. Also maintains record of 5 year re-screenings.
Sends out notifications of annual update training requirements. Prepares materials and disseminates. Tracks completion and provides information to the HR Generalist.
Prepares materials for orientation and facilitates section on HR policies, procedures and assures required new hire documentation is obtained.
Develops and submits required and miscellaneous reports to HR.
Assists in special projects to improve employee morale.
Enters employee data into the HRIS system.
Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.
Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.
Must be alert at all times; pay close attention to details.
Must be able to work under stress on a regular or continuous basis.
Perform other duties as assigned.
