OverviewNYPL Digital is responsible for the digital transformation of the Library, delivering robust core patron-facing services through digital platforms.We’re seeking a high-energy, motivated administrative assistant to support the (currently) five-member Digital Leadership team (DLT). The candidate will serve as a liaison between the DLT and various internal and external partners.The ideal candidate will have a proactive and solution focused perspective with strong people skills. Additional skills required include organization, collaboration, written and verbal communication, time management, proficiency in managing multiple calendars and attention to detail. The candidate will need to effectively manage their time and prioritize tasks.We’re seeking candidates that are eager to learn and grow, and enthusiastically support the team for success!Principal ResponsibilitiesOWN:* Schedule meetings and manage multiple calendars* Take notes and meeting minutes* Serve as a point of contact for staff and external stakeholders* Coordinate the workflow of the Directors resulting in the efficient running of the DLT and maximizing their time* Prioritize key issues for the DLT for timely decision making* Schedule and coordinate logistics for meetings and events involving DLT members, including designing and sending invitations, maintaining lists, etc.* Coordinate and prepare background and briefing materials* Maintain a checklist for onboarding and offboarding team members and contractors and execute access to various systems and tools for team members* Create Welcome Packs for new team members* Prepare and revise presentations, memorandums, talking points, correspondence and other documents* Assist with special projects and other duties as needed* Perform general administrative duties* Manage travel arrangements and other reservations* Maintain confidentiality and discretion with information* Develop and sustain a level of professionalism among partners (internal and external)LEARN:* About NYPL Operations & the Library ‘business’* The Digital team’s workflows and priorities* The software systems and tools used by the Digital team to onboard and offboard members and manage accessIMPROVE:* Mitigate calendar and time management conflicts* Seek resolution on outstanding issues* Communication between DLT and internal and external partners* Keep DLT members on track and course correct as needed* Resolve and/or escalate issues in a timely manner* Work closely with Digital partners on projects and needsRequired Education & Experience* 3 years experience in an Administrative Assistant role supporting senior level staff* Experience managing multiple calendarsMinimum Qualifications* Strong time management and organization skills* Good written and verbal communication skills* Attention to detail* Ability to handle multiple tasks simultaneously* Ability to deal tactfully and professionally with a variety of individuals* Ability to work under pressure* Good problem solving skills* Familiar with the use of technology* Microsoft Office and Google Suite applicationsPreferred Qualifications* Previous experience in software development or technology related industryAll team members are expected and encouraged to embody the NYPL Core Values:* Be Helpful to patrons and colleagues* Be Resourceful in solving problems* Be Curious in all aspects of your workWork EnvironmentOffice EnvironmentPhysical DutiesLight lifting up to 20 lbsStarting SalaryHoursMonday – Friday 9-5; some nights and weekends as requiredUnion / Non UnionNon Union
