POSITION DESCRIPTION
The Human Resources Clerk is responsible for performing a variety of clerical support work for the Human Resources department including maintain employees’ files in an orderly manner and according to records retention protocol, background check submission requests, audits and performs data entry, prepares staff IDs and key access, approval of personnel information data change into Workday and assistance in the Onboarding process of New Hires.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Maintain employees’ files, hard and digital, in an organized manner and updated.
2. Performs weekly audits of New Hires’ electronic files to ensure that all required documents are collected and uploaded appropriately.
3. Audit and approve exclusions (OIG/SAM) of New Hires into Workday.
4. Collect and ensuring background and reference checks are completed.
5. Gather the State New Hire Registry and submit through the government website.
6. Prepare the staff IDs and key access and coordinate with IT department the building access for the new employee.
7. Approve employee personal information changes into Workday.
8. Assist in the Onboarding process.
9. Assist with entering personnel data into Workday.
10. Performs all other duties as assigned.
EDUCATION AND EXPERIENCE
Mimimum of high school diploma or general education degree (GED); and one to three months related experience and/or training, in office setting preferred.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short communications, and memos. Ability to effectively present information in one-on-one and small group situations to internal customers.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
Ability to apply common sense understanding to carry out simple one- or two-step instructions. Ability to deal with standardized situations with only occasional or no variables.
INTERPERSONAL RELATIONS
The responsibilities of this position require continuous interaction with colleagues within HR Department.
GENERAL SKILLS
1. Must demonstrate discretion when handling confidential information.
2. Ability to establish priorities and accomplish tasks in a timely and accurate manner.
3. Ability to practice, value and support service to both internal and external customers.
4. Ability to work in a team environment to create solutions to problems.
5. Proficiency with Windows, Microsoft Office (Excel, Word, Power Point), Outlook, Zoom, Microsoft Teams and Workday.
6. Proficiency with office equipment including, but not limited to, scanner and photocopy machines.
7. Excellent communication skills (verbal and written) required.
PHYSICAL AND MENTAL DEMANDS
Requires sitting, standing and walking associated with a normal office environment, talking and hearing. This position requires weight to be lifted or force to be exerted up to 20 pounds.
ENVIRONMENTAL AND WORKING CONDITIONS
Normal office environment. Occasional evening or weekend work. The noise in the work environment is moderate.
