Key Responsibilities
Welcoming Front Desk Management: Be the friendly face of our office, managing employee and visitor entry/exit and creating a warm, inviting environment.
Efficient Communication: Handle phone calls with professionalism and direct them appropriately to ensure smooth communication.
Organizational Wizard: Masterfully handle paperwork, scanning, copying, faxing, and filing, ensuring everything is in its rightful place.
Document Preparation: Assist in preparing various documents for data entry, including form creation, invitations, presentations, flyers, and newsletters.
Professional Correspondence: Draft internal communications and formal documents, showcasing your polished writing skills.
Time Management and Coordination: Plan and schedule appointments and events, showcasing your knack for juggling multiple tasks.
Research Support: Dive into research tasks as needed to support various projects and initiatives.
Data Entry and Tracking: Utilize current technology to enter and maintain data, creating organized logs for tracking purposes.
Support and Collaboration: Offer insights to supervisors regarding data issues and assist the Finance Manager and CEO with day-to-day operations.
Flexibility for Events: Occasionally support evening and weekend social events, adding your positive energy to our team.
Mandatory
Job Requirements:
Education: High School Diploma or equivalent
Experience: 3 years of relevant experience, including previous office administration roles.
Required Skills
Proficiency in Microsoft Office Suite and Microsoft Teams.
Independent and team-oriented work approach.
Strong verbal and written communication skills for professional interaction.
Exceptional time management and multitasking abilities.
Familiarity with social media platforms.
Preferred
Education: Associate degree from an accredited institution.
Experience: Exposure to bookkeeping within accounting systems, schedule management, and professional communication.
