Purpose of the job
The Executive Assistant is responsible for boosting the productivity of the HR and Executive teams by completing a number of important administrative tasks accurately and efficiently. The role also serves the needs of all SCC team members by providing effective communication and guidance relative to HR administration.
Essential Job Responsibilities
Provide guidance to guests, visitors and applicants as needed. Maintains iLobby database to ensure visitors can connect with their hosts. Directs callers when auto-attendant is unsuccessful.
Perform a variety of HR planning and scheduling tasks including printing badges, scheduling meetings, scheduling roundtable meetings, processing service awards, business cards etc.
Coordinate, plan, and manage event details including catering, customer visits, and employee events.
Manage office cleaning service, floor matt service and lobby vending.
Maintain building access and security profiles. Ensure all team members are assigned to the proper profile and maintain daily updates for new hires, terminations, etc.
Maintain team member access to MRO vending machines in Grainger and Fastenal online databases.
Support the HR and Payroll admin processes to help ensure timely and accurate inputs. Maintain electronic employment, safety and training documents and records in ADP. Ensure timely uploading of documents.
Review and report daily call-in and leave information, record data in tracking documents, and apply time to HR-managed leave codes in ADP Time and Attendance.
Manage and process unemployment claims via UIA portal. Escalate as needed to other HR team members.
Update communication boards and monitors ensuring information is up-to-date and accurate. Maintain data in Mobile Text Alert service and push communication as needed.
Support the administration of employee leave programs including Workers’ Compensation, FMLA, STD, LTD, and PTO with accurate recordkeeping.
Essential Qualifications
· Education: High School Graduate, College Experience a plus
· Experience 5+ years.
· Highly conscientious and dedicated to serving others.
· Excellent Attention to Detail and organizational skills required.
· Works quickly and accurately.
· Electronic recordkeeping.
· Highly skilled in Microsoft Office suite.
· Excellent phone and email communicator.
· Dependable.
